Targets
Based on the complexity analysis, a CPQ system was to be introduced that would make the process of creating variants more economical and further advance topics such as sustainability, digitalisation and document quality.
Implementation
After a detailed analysis, the decision was made in favour of customX. Based on the intensive systematisation of the products, the set of rules was set up, first by customX employees and later - after training - by Rosenberger OSI themselves.
Conclusion
Today, Rosenberger OSI's sales department uses customX to create all the documents for the acquisition and production phase. The time saved is enormous and the personnel resources freed up can now be utilised much more effectively elsewhere.
CPQ wanted - customX found
It sounds simple enough - cables that connect different points together. In reality, however, the cabling of data centres, local networks, industrial applications and telecommunications facilities is highly complex, and no two projects are ever the same. For this reason, Rosenberger OSI set out to find a suitable CPQ system based on a complexity analysis of variant management and ultimately introduced customX.
Complexity as a challenge
Rosenberger OSI, based in Augsburg, is the specialist within the Rosenberger Group for fibre optic-based connection technology, cabling solutions and infrastructure services in the areas of data centres, local networks, mobile networks and industrial applications. The company successfully introduced a process organisation some time ago and attaches great importance to the continuous improvement of its business processes. The topics of sustainability, digitalisation and quality management play a major role at Rosenberger OSI. With this in mind, the company analysed variant management from the ground up and then set out to find suitable software that would provide speed, security and accuracy for the numerous variants.
Resource-intensive process
The problem was quickly recognised: the process started with an enquiry from a customer for an individual project. This triggered a parts creation process at Rosenberger OSI, in which all product components had to be created and all documents compiled with software support, but still by hand, before the data sheet was available to the customer. Such a process is naturally resource-intensive and error-prone and therefore hardly economically feasible. This process therefore needed to be changed and digitalised.
Decision in favour of customX
Together with a specialised consulting company, the entire process of creating variants was closely scrutinised. At the end of the complexity analysis, a specification sheet was drawn up that enabled the comparison of different software systems. After a pre-selection, eight providers were analysed very closely: What does the system do? What support can the manufacturer offer? What development options are there? And so on ...
From this process, customX emerged as the favourite. All the requirements for a CPQ system were met - and some more. Because configuration is not the end of the story.
For Rosenberger OSI, the graphical implementation was also a decisive criterion. In particular, the 3D visualisation in the preview is well integrated, very fast and extremely powerful, as Uwe Albrecht, Process Manager in the Development department, acknowledges.

Systematic product analysis as the basis
At customX, the start of a project always includes a three-day workshop in which the product is analysed from the ground up. Together with a customX employee, the project team intensively analysed the entire product logic with all its dependencies. The results then formed the basis for creating the rulebook in which the product system is recorded. After an initial proof of concept, customX specialists started to set up the rulebook. However, it soon became clear that this approach was not ideal for Rosenberger OSI and that the company wanted more expertise in order to be able to make changes and additions to the rules more easily and quickly. Therefore, the employees of Rosenberger OSI were trained by customX so that they could set up the rules and regulations for all subsequent product groups completely independently - with occasional support from customX. Another advantage of this approach is the standardised nomenclature, which then always corresponds to the company's usual language usage and is therefore easier to understand.
Use in sales
Today, Rosenberger OSI's sales department works with customX and creates all projects for the recorded product groups using this software. The ERP system is closely linked to the configuration system, which supplies important data and, as the leading system, also stores the documents created by customX.
Time savings of over 99%
What used to take a week and a half (i.e., around 1,800 minutes) - creating a part and generating the associated documents - is now completed in just four minutes. This corresponds to a time saving of approx. 99.8 %. The results are fully completed, error-free, standardised documents, from the drawing to the data sheet with prices, to the parts list. All documents required for the acquisition and production process are generated at the push of a button.
With 4,000 calls and a total of 11,000 documents generated in just three months of operation, the savings generated by such a system are soon obvious. In addition, only technically feasible products are created, without any queries or rounds of clarification with the technical managers. According to Albrecht, the resources saved in this way can be utilised much better and more economically.
Conclusion of the users
It is clear that the acceptance of a new system only develops slowly in a change process. But as soon as the employees realised how much easier customX could make their day-to-day work, their enthusiasm quickly increased and you often hear phrases like "It's great how easy it is now."
For Uwe Albrecht and Kai Blessing, project managers from the IT department, the introduction of the CPQ system and its integration into the Rosenberger OSI software landscape has been a complete success:

Outlook
"We’ve found an ingenious solution, but we still have a lot of plans," states Albrecht. Of course, there are always things that come up in daily use that can also be solved with customX, and performance can be improved even further. The aim is to include additional product groups. And anyone who knows Rosenberger OSI knows that the end has certainly not yet been reached, because improvement is a continuous process. In any case, there’s never a lack of ideas.
